Guide

Opening appointment booking.

Three settings and one block: an appointment type, some availability, and the calendar placed on a page. The rest — confirmations, reminders, payment, cancellation, waiting list — runs on its own.

1. The appointment type

Appointments › Appointment types. A type describes what the customer books.

Name Discovery consultation
Duration 45 minutes
Paid / price per place yes — €60
Places per slot 1 (8 for a group workshop)
Max places per booking 1
Waiting list yes
Cancellation deadline 24 hours
Registered users only no
Colour, font, description

  1. A group workshop is a type with several places per slot: each customer books one or more places, up to the limit you set.
  2. Registered users only: booking requires an account — useful for follow-ups reserved to your customers.

2. Availability

Appointments › Slots. An availability is a time range, open to one or more appointment types. JEIKO cuts it into slots of the type's duration.

For a typical week, an iCal recurrence rule saves entering every day, with dates to exclude for holidays:

Start Monday 5 October, 9:00
End Monday 5 October, 12:00
Recurrence
RRULE:FREQ=WEEKLY;BYDAY=MO,TU,TH;UNTIL=20261231T235959Z
Excluded dates
2026-11-11
2026-12-24

Times are stored in universal time and shown in the visitor's time zone. Emails give the customer's time, and the site's when they differ: a customer in New York doesn't read « 9:00 » as Paris time.

3. The calendar on a page

In the editor, an « Appointment booking » block shows a type's free slots. The visitor picks one, fills in their details, confirms. A paid appointment goes through Stripe before being confirmed.

What goes out on its own afterwards

  1. Confirmation to the customer, alert to the practitioner.
  2. Reminders to the customer twenty-four hours and two hours before; to the practitioner one hour before.
  3. Cancellation via a link in the email, with no account or password; refunded if it falls within the cancellation deadline.
  4. Rescheduling, no-show, refund: each has its email.

4. Waiting list and Google Calendar

  1. Waiting list: on a full slot, the customer joins the waiting list. When a place frees up, the first person is notified and the place is held for them for thirty minutes; without a booking in that time, it moves to the next. Nobody else can take a held place.
  2. Google Calendar: Appointments › Google connection. Every appointment and every availability is copied into your Google calendar, and updated or removed along with it.
  3. Follow-up: upcoming and past appointments, with their status — awaiting payment, confirmed, honoured, no-show, cancelled.

Google credentials are encrypted in the database, like the Stripe keys.
